Why we use it and our lawful bases
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries and arranging work | Taking steps at your request before a contract, performing a contract, and our legitimate interest in responding to genuine enquiries. |
| Providing support, bookings, tickets and customer service | Contract and legitimate interests in operating and improving our services. |
| Invoices, accounts and tax records | Contract and legal obligation. |
| Protecting accounts, investigating misuse and maintaining audit records | Legitimate interests in keeping customers, staff and systems secure. |
| Optional website analytics | Your consent. Analytics remains off until you accept and you can withdraw at any time. |
Who receives information?
We use service providers where needed to host the website and data, deliver email, maintain systems, process accounts, or obtain professional advice. They may only use information for the agreed service and must protect it. Information may also be disclosed where the law requires it or to protect legal rights. We do not sell personal information.
International processing
Some technology providers may process information outside the United Kingdom. Where this happens, we assess the transfer and use an approved safeguard or another lawful transfer mechanism. Contact us if you want details of the safeguard relevant to your information.
How long we keep it
| Record | Normal retention |
|---|---|
| Enquiries that do not become customer work | Up to 24 months from the last contact. |
| Customer, booking, ticket and service records | Six years from the end of the relationship or last relevant activity. |
| Remote-support session, device-enrolment and consent records | Six years from the last support activity. Access codes expire automatically and device access can be revoked sooner. |
| Invoices, expenses and accounting records | Six years from the relevant financial year; longer only where a specific tax rule applies. |
| Optional anonymous website analytics | Up to 13 months. |
| Privacy requests and complaints | Six years after closure. |
We may keep a specific record longer for an active service issue, legal claim, HMRC check or another documented legal obligation. We delete or anonymise information when there is no longer a lawful reason to keep it.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or transfer of your information. Where processing relies on consent, you can withdraw it without affecting earlier lawful use. We normally respond within one month and may need to verify your identity.
Email enquiries@nexdor.co.uk with “Privacy request” in the subject. You also have the right to complain to the Information Commissioner’s Office; visit ico.org.uk/make-a-complaint or call 0303 123 1113.
Security and automated decisions
We use access controls, encrypted transport, restricted storage, monitoring, backups and retention controls appropriate to the information. No decision with legal or similarly significant effects is made about you solely by automated means.
Changes
We will update this notice when our services or legal obligations materially change and show the new date at the top.
